PUBLIC EVENT/SPECIAL ALCOHOL LICENSE APPLICATION City of Somerville, Commonwealth of Massachusetts Application #: PEL23-000160 File #: 23-015796   Application for: Public Event Organization name: Groundwork Somerville   Event name: Groundwork Somerville Harvest Festival Description: The Harvest Festival will be an event with that is essentially an end of summer party for Groundwork Somerville. The start time for the festival will be at 12pm and end promptly at 5pm, with a couple hours before and after for cleanup/breakdown. It will begin with a community harvest of our crops, following stations of workshops that we've secured from the community. These workshops range from chocolate making to Fermentation by partner organizations and residents. There will also be live music for a festive aspect of the event, but not the focal point. We will have food donated by local businesses who will fill out the necessary permits, and they will with our partners at Portico Brewery. The event is open to the public, free to attend, and kid friendly. We ideally would love to shut down a portion of South Street to make the event more accessible and include a greater number of workshops for residents to enjoy.   Location: South St from Windsor St to Willow St Date(s): Sunday, August 27th   Rain date(s): none Setup starts at (time): 10AM   Event starts at (time): 12PM  Cleanup after the event ends at (time): 8PM   Event ends at (time): 5PM Entertainment: There will be some live music at the event, but a toned down version than a full concert/band. We are working with EventThem to set up a small stage, amp, and have drop in open mic sessions during the course of the day. Other entertainment include our numerous workshops which people can decide to go to once they arrive and can see a map of the activities. Not all of these workshops are interactive, but some are. Temporary Structures: We will have tents provided by Eventthem for this event, depending on how many workshops we end up having (based on logistics of shutting down the street) but we anticipate at least 6. These will also include tables, chairs, as well as a small temporary stage under our large central canopy at the farm. Attendees:     Max attendance at one time: 50-75   Total people attending: 100+     Maximum attendees accommodated: 150   Total Somerville residents attending: 50-75   Attendee fees or suggested donations: 0   What is your budget for this event: $1000-1500   Social or cultural benefits:  Our workshop partners will get to outreach their crafts and be able to share their social media handles, future gigs, and conduct other promotional outreach. Local businesses who have donated food for our event will be showcased in our promotions during the event and highlighted as partners in the celebration. The event is a chance for Groundwork to celebrate its achievements since our organization suffered greatly during the pandemic. We want to take advantage of a fantastic fiscal year and throw a community party to show residents Groundwork is still here and our mission is strong. It'll be a less formal gathering than our Gala and still be open to the public, free, and full of the life we like to see at our farm. Since we won't have our farm at that location forever, we want to take advantage of the summers we do still have it and make the most out of it   Financial benefits:  Financially, Groundwork may receive some donations from community members participating, but the event costs will be covered through other means. Our workshop partners will not benefit from this organization financially, but they will get to showcase their work and outreach their crafts. Food for the event was donated therefore will not be a financial benefit for those businesses. Other partner non-profits are also donating their time with musical performances, but again will not be compensated for their time.

We will conduct more outreach through the form of paper flyers, chalking near the farm, and word of mouth closer to the event date. Food served? Yes Food has been donated by local businesses that support Groundwork and housed with our partners at Portico Brewery. These businesses are: Mike's, Dave's Fresh Pasta, and Redbones BBQ. Mike's will be providing salads and pastas, Dave's is donating cheese platters, and Redbones is providing several trays of BBQ pork, chicken, cornbread, and butter. All of these businesses have/will fill out the Temporary Food License prior to the event. Caterer used? No Alcohol served? No Grill/open-flame device used? There is plenty of parking nearby, although it is encouraged residents take the train or bike to the event. We will have volunteers during the entire time to accommodate any accessibility requests for residents to enjoy our celebration. Arrangements:     Police Detail: Yes We are asking for police detail only if it is required for the event and if required for shutting down the street. We have not made arrangements ourselves.
